When Eco Rules Kill Promotion: Preparing for Web Summit 2024, Part 0

Earlier I wrote that Improvy OÜ was accepted into the Fullyst Alpha program. I’m really happy about it, and although Web Summit is only in November, the team is already preparing for the event.

Web Summit will be our first big conference, and we still don’t fully understand some aspects of events like this. Today’s email from our success manager was a bit disappointing because of two points:

> Web Summit is an environmentally conscious event, and we promote a paperless and single-use plastic free event where possible.

> Prohibited materials include, but are not limited to, leaflets/flyers, stickers and single-use plastic items that could be distributed to an attendee. If you bring paper or single-use plastic items for distribution onsite, you will be instructed to remove them from the venue. Continued failure to comply will mean that your team’s access to the event will be revoked and you may be fined.

With all the hustle we forgot that we are in Europe with some eco-friendly practices like this. So our idea with cool, really beautiful stickers is cancelled.

I assume I’m not 100% eco-friendly, but I still don’t understand why stickers are prohibited. All my life I was sure stickers are not single-use items (some stickers on my second MacBook are already 5 years old), but the current agenda disagrees with me, so we need to change our promo campaign for Web Summit.

> Filming at the event is only permitted when you have received written consent from our team and you have provided a full itinerary.

I can understand why I can’t record the stages, but why can’t I record my own booth with me in it without Web Summit’s consent? It feels really strange. Below that there was also a link with filming instructions and even when filming is approved by the Web Summit team, most areas are still restricted.

It is not a big deal, but it is a source of misunderstanding and inconvenience.
